This Privacy Policy explains how [Company legal name] ("GameDay OS," "we," "us") collects, uses, and shares information through our websites and the GameDay OS and GameDay Team products (the "Services"). We build software for youth-sports venues and the families that play there, so protecting information — especially children's information — is central to how we operate.
Two things to know up front: we do not sell personal information, and we do not process payments — registration fees are collected by your league or venue directly, through their own payment provider, so we never handle your card details.
Who controls your information
When a venue, league, or park district ("Operator") uses GameDay OS to run its programs, that Operator decides what information is collected from its participants and why. In most cases the Operator is the "controller" of that information and GameDay OS acts as its "processor" / service provider. If you registered a child or joined a team, the Operator's own privacy practices also apply, and requests about a participant's data are best directed to them. We help Operators honor those requests.
Information we collect
From venue and league staff
- Account details: name, email, role, and the venue or organization you belong to.
- Operational content you create: schedules, fields, games, sponsors, invoices, work orders, and similar records.
From families and guardians
- Registration details a guardian provides: guardian name, email, phone, and the answers to a league's registration questions.
- Waiver and consent acknowledgements captured at registration.
About players (including children)
- The minimum needed to place a child on a roster and run their season: name, birth year or age group, team, and any eligibility documents the Operator requires.
- We ask Operators to collect only what a program actually needs, and we design for data minimization.
Automatically
- Basic technical data (device, browser, IP address, and usage events) to keep the Services secure and working. On our marketing site we keep this light and do not use it to build advertising profiles of children.
How we use information
- To provide the Services: run game day, maintain rosters and schedules, deliver sponsor placements, and produce reports.
- To maintain the "permanent record" that lets a family carry a verified profile across seasons and teams (the Data Passport), under the family's own sharing controls.
- To communicate about the Services — for example, to email a guardian about a registration or an outstanding fee owed to their league.
- To secure the Services, prevent abuse, and meet legal obligations.
We do not use children's information to serve targeted advertising, and we do not sell or rent personal information to anyone.
Children's privacy (COPPA)
GameDay OS is built for programs that serve minors, so children's privacy is a first-class concern, not a footnote.
- We collect children's information on behalf of the Operator. The venue or league is responsible for obtaining verifiable parental consent at registration, and for the notices required by the Children's Online Privacy Protection Act (COPPA). We provide the tools (registration, waivers, consent capture) to support that.
- Data minimization. We limit children's data to what a program needs to run — roster, age group, eligibility. We do not ask children for more than necessary and children do not create their own accounts.
- No behavioral advertising to children. We never use a child's information to target ads, and we don't allow third parties to do so through the Services.
- Parental rights. A guardian may review the information associated with their child, request corrections, and request deletion. Guardians can exercise these through their family account or by contacting the Operator or us at [privacy contact email].
- Deletion. When an Operator or guardian asks us to delete a child's information, we delete or de-identify it, except where we must retain limited records to comply with law.

How we share information
- With your Operator. Information you provide for a venue or league is shared with that Operator so they can run their programs.
- With service providers who help us run the Services under contract — for example, cloud hosting and database (Supabase), email delivery, and error monitoring. They may only use the information to provide services to us.
- For legal reasons — to comply with law, enforce our terms, or protect the rights and safety of people.
- In a business transfer — if the company is acquired or merges, information may transfer as part of that transaction, subject to this Policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Payments
GameDay OS does not process payments and does not store payment-card data. When a league charges a registration fee, it collects that money through its own payment provider. We only record whether a fee is marked paid, waived, or outstanding.
Data retention
We keep information for as long as an Operator uses the Services and as needed to provide them, then delete or de-identify it on a reasonable schedule or upon a valid deletion request, except where retention is required by law.
Security
We use technical and organizational measures — including access controls, row-level security on our database, and encryption in transit — to protect information. No system is perfectly secure, but we work to protect the data entrusted to us and to respond promptly to issues.
Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to object to certain processing.
